Hi NonProfit System Administrators and friends!
First, please note that this month we don't have access to the Jellybean Room at Communitech. Instead we'll meet at the Queen Street Commons Cafe. If that venue proves to be too noisy or crowded we can move to a different location.
This month's discussion is on Document Storage. Coming out of our discussion on Regulatory Compliance in November last year, we asked if there are requirements to store our documents, images, files &c. in a particular file format. But we'll leave the discussion of File Formats themselves until March 2018, the month of Document Freedom Day.
This month let's concentrate on how you store documents. Do you allow staff to keep their documents on their computer's hard drives, or do you require documents to be stored on your organization's server? I'm particularly curious about those organizations that use Microsoft SharePoint -- how do you tame that monster?
Do you use cloud-based documents? Do you allow documents to be shared by e-mail? Or file transfer services like Dropbox? Can staff take documents home on USB sticks to work on them?
Does your organization report to other organizations? Maybe your organization is subject to legislation that dictates how your documents are stored. Encrypted, or not?
