This was a joint meeting of KW Linuxfest and KWVoIP

Priorities

• First: Get solid platform
  • VULTR will be the host

• Web:
  • Transfer web page ->CJM
    • To contain info about KW Linuxfest; HTML to be as static as possible
    • Easy to update
    • Registration facility (to be done later)

  • Mailing lists:
    • Organizers (currently on SOBAC server)
    • Participants (exhibitors and presenters)
    • Newsletter

• Mumble server (Murmur) ->Sean Howard
  • We're currently using the one on kwvoip.ca's server

KW Linuxfest Foundation

• A formal organization is needed

• Board of Directors
  • Executive Officers appointed:
    • Chief Executive Officer (President): Colin J. Mills
    • Chief Financial Officer (Treasurer): Marc Paré
    • Chief Technical Officer (SysAdmin): Sean Howard
    • Secretary: Bob Jonkman

  • Grantors will need a history of the organization

    • Mark will use the same institution he's used before
  • Co-signers will be Colin J. Mills (CEO) and Marc Paré (CFO)

• Need Master Business License: ->Marc Paré
  • Cost: about $60
  • Needed for operating an organization with a name
    • Proper styling: KW Linuxfest (capital KW, space, initial capital L, Linuxfest one word, no spaces)

  • Potential venue: Registry Theatre, $450 (?)

• The KW Linuxfest Executive Board should have regular meetings
  • Monthly meetings to be held on Mumble
  • IRL meetings to be held as necessary at Egg Roll King Restaurant
  • Meetings will be more frequent as an event date approaches

• Time window for conference? (Later!)
  • Not in January, conflicts with StarCon https://starcon.io/
  • Not August to October 2019 (conflicts with Bob's schedule)

• First priority: Infrastructure!!!

• Text/Copy to display on website?
  • ->CJM will create, send to organizers mailing list for approval
  • Include the phrase: Established 2016

• Technical organizers to send their SSH keys to Sean Howard mailto:seanhoward@kwlinuxfest.ca for access to server

• Logo for KW Linuxfest?
  • ->Willem Jonkman will create a logo
  • ->Marc Paré will order business cards once a logo is created

  • Presentation at a beginner level

• Bring in others to make presentations
  • instead of having KW Linuxfest board members make presentations
  • But we can still be a fallback in case of lack of presenters

• Need a marketing person
  • Twitter, &c.
  • Time consuming!
  • Is marketing all done on Social Media?
    • No, still a need for posters, newspaper ads, radio ads
    • Also programmes for conference day
• But Platform First!!!!!

• Are we trying to recapture this year's conference?
  • This does not give us much time
  • We will target next year, maybe early summer, or better in November 2019
  • Universities: Make sure we get student participation (avoid exams, &c)
